Seven Tips To Keep Your Computer Files Organized

Here are some tips, which will help you to organize and manage your files:

1. Stop procrastinating -
Managing your files is an important part of your business. By spending too much time on locating your data you lose too much money. So don’t forget that every minute counts, act now, organize your files now…and you will gain much more time for your future work!

2. Define your root folder -
Before starting to organize your data, you must decide where to store it. You can do that on My Documents or any other home folder: the main idea is to have a single location for most of your data, in order to organize and manage it easily.

3. Create folders -
Start creating large main folders, organized in a logical hierarchy. Imagine them as drawers for your bookshelf. Don’t create a messy root folder or desktop with just lots of files: how difficult it would be to find a book in a pile, instead of taking it from a shelf. However, the folders should be organized as well: you can choose any system, just do not forget to stick to it.

4. Create some Sub Folders/Sub Categories
It sounds so obvious and easy: if you have too many files in your folder, you can categorize and organize them by subfolders. Again, the system depends on your preferences and file specifics.
However, do not go creating too many subfolders, otherwise, you could lose too much time locating the right file. This is especially important when you try locating a file you use often and which needs your quick access: don’t put it too far from the root.

5. Put some thought into your folders/files names-
Try choosing only meaningful, short and precise names for your files and folders. The most important: the name must help you to understand the content of your file/folder. Meaning, it must be short but detailed and descriptive at the same time. Sounds complicated? However, it’s very easy to achieve if you spend some more seconds. Sometimes it’s a good idea to use abbreviations (however, chose the simple ones). It is also a good idea to use dates, company/customer names etc.

6. Get rid of duplicate files
We often don’t even realize how many duplicate files we have in our PCs and laptops. Sometimes we create them accidentally. Removing duplicate files from your computer will save you some extra space, and of course, will help you to keep your computer data more organized.
But in some cases, you need a copy of a file, for example on your desktop. There’s a simple solution: never make copies, just create a shortcut of the file instead.

7. Backup your files regularly-
It’s a good idea to sync your files to the cloud. You can choose any cloud service: GoogleDrive, Dropbox, etc. It’s just important to set up and follow a regular backup regimen.
